We want a meticulous, organised individual to join our Client Administration team; looking after the end to end process for clients, from onboarding after contracts are won, to triggering the invoicing. Excellent levels of communication with both internal and external customers will be essential to ensure activities are undertaken accurately and in a timely and professional manner

Responsibilities include:

  • Accountable for carrying out all key daily / weekly activities for your portfolio of clients

  • Proactively managing the client relationship on a day to day basis

  • Handling all client issues as they arise, escalating to senior management where appropriate

  • Collect client availability for visits to contribute to scheduling

  • Schedule all visits and audits for the clients, ensuring confirmations are sent in a timely fashion

  • Chasing any late reports or other related correspondence from Auditors

  • Reviewing reports and launching relevant actions such as requests for contract updates in the system (Siebel)

  • Submission of files for certification in a timely manner

  • Production of certificates for clients, and ensuring these are sent on to them in line with service level agreements

  • Check Subcontractor invoices against the Purchase Orders

  • Ensure that invoicing data is accurate and available in Siebel

  • Preparation of the draft invoice

  • Ensure draft invoice is approved by client (when applicable)

  • Trigger the invoice issuance

  • Update Siebel and Actis and ensure they are up-to-date and accurate

  • Solve queried invoice issues

  • Proactive approach to analysing data and putting forward recommendations for improvements

HAVE YOU GOT WHAT IT TAKES?

Candidate requirements include:

  • Minimum five GCSEs including Maths and English (A-Level or equivalent is desirable)

  • Proficient in IT and a confident user of MS Excel and in-house systems such as Siebel

  • Good level of office based experience, ideally gained in a busy and fast paced planning or consultancy environment

  • Excellent organisation and planning skills

  • Exposure to dealing with Clients, answering queries and resolving issues

  • Good UK geographical awareness

  • Customer service focus and helpful approach

  • Effective communication skills and the ability to build great professional relationships with colleagues and clients

  • Excellent telephone manner

  • Ability to adapt to different scenarios

  • Excellent attention to detail
